We are the data controller for the personal data described in this policy.
2. What personal data we collect
We do not sell products online and our website does not collect personal data through forms, accounts or a checkout. The personal data we handle arises when you contact us, engage us for work, or visit our premises, and may include:
- Name, business name, and farm or property address
- Phone number(s) and email address
- Details of your enquiry, job or service request (for example dairy plant servicing, electrical testing, or shop orders)
- Payment and billing details when we invoice you (for example bank details for BACS)
- Limited technical data from website visits (for example IP address, browser type and pages viewed) from our hosting logs and any privacy-friendly analytics we use
We do not intentionally collect "special category" data such as health data. If such data is ever provided incidentally, for example in an email, we will treat it carefully and use it only as needed to respond.
3. Why we use your data (lawful bases)
Under UK GDPR we must have a lawful basis for processing personal data. For our activities these are typically:
- Contract: to provide quotes, carry out work, issue invoices, and manage warranties or follow-up service.
- Legitimate interests: to respond to enquiries, keep records of jobs and customers, improve our services, and for basic website analytics and security.
- Legal obligation: to retain certain records for tax, health and safety, or electrical certification purposes (for example EICR records).
- Consent: only where we explicitly ask for it, for example if we ever send marketing emails. We do not currently do this.
4. Who we share your data with
We only share personal data where necessary to deliver our services or to comply with the law, for example with:
- Our accountants and bookkeeping software providers
- Payment processors and banks, for invoicing and payments
- Manufacturers and distributors where warranty or technical support is required (for example Dairymaster, FutureCow or Afimilk)
- Couriers or suppliers delivering goods you have ordered from our shop
- Regulatory bodies where legally required (for example the HSE, or the ICO in the event of a reportable breach)
We do not sell or rent your data to third parties.
5. How long we keep your data
We retain personal data only for as long as necessary:
- Customer and job records: typically six to seven years, for tax and warranty purposes
- Electrical test records (EICRs and similar): as required by regulation and good practice, often five years or more
- Website logs and analytics: short term, typically up to 12 to 24 months, unless needed for a security investigation
- Enquiry emails and phone notes: while the matter is live, plus a reasonable follow-up period
6. Your rights
Under UK GDPR you have the right to:
- Access the personal data we hold about you
- Request correction of inaccurate data
- Request erasure, in some circumstances
- Restrict or object to certain processing
- Data portability, where processing is automated and based on consent or contract
- Withdraw consent, where consent was the basis for processing

7. Data protection complaints
In line with the Data (Use and Access) Act 2025, we have a clear process for data protection complaints:
- How to complain: email info@colindawsonltd.com with "Data Protection Complaint" in the subject line, or write to us at our address.
- Acknowledgement: we will acknowledge your complaint within 30 days.
- Investigation and outcome: we will investigate without undue delay and tell you the outcome.
If you remain dissatisfied, you may complain to the Information Commissioner's Office (ICO) at ico.org.uk.
8. Website cookies and analytics
Our website does not set cookies for non-essential purposes. Our hosting provider keeps standard server logs, and any visitor analytics we use is a privacy-friendly, cookieless service. If that ever changes and we introduce non-essential cookies, we will add a cookie banner with a genuine option to reject them, in line with PECR and ICO guidance.
9. Security
We take reasonable technical and organisational measures to protect your data, such as secure email, password-protected systems and access controls for staff. No internet transmission is completely secure, but we treat your data responsibly.
10. Changes to this policy
We may update this policy from time to time. The "Last updated" date at the top will change. For significant changes affecting your rights we will notify you where practical, for example by email if we hold your contact details.
